A practical multilingual project brief checklist

The information that helps projects start with fewer delays and fewer surprises.

HBPO Knowledge Desk · October 2026 · Guides

A great brief reduces avoidable back-and-forth.

The first message to a language-service provider is often incomplete. Missing details cause delays, repeated requests and inaccurate cost assumptions. A concise project brief helps everyone understand the scope before commitments are made.

Capture the essentials

  • Requested service: interpretation, translation, localization or a combination.
  • Source and target languages and any dialect or terminology considerations.
  • Date, timezone, project schedule and delivery location.
  • Expected duration, document word count or audio/video runtime.
  • Subject matter, audience and accessibility requirements.
  • File formats, platform and technical compatibility requirements.
  • Security expectations, review process and decision-making contact.

Separate confirmed details from estimates.

Mark unknown quantities and tentative dates clearly. Estimate workload conservatively, and define what constitutes a revision or change in scope. Do not send sensitive records through public or unsecured channels.
